Consider/Approve Floor Refinishing and Renovation Bid for Black Oak Gymnasium


Background Information :

In addition to advertising, we solicited bids from Covington Flooring and Jay Pro to completely refinish the gymnasium floor at Black Oak Elementary School (specifications attached). Funds are available for this purchase within the General Purpose School Fund budget for the current fiscal year as previously approved by the Board. We received a bid from one (1) company, which is summarized on the bid request tally sheet. The individual bid was as follows:

Covington Flooring – $16,057.00

Several requests over the past few years have been made to center the playing floor at Black Oak Elementary and place bleachers on both sides of the court (floor plan attached). To this end, in addition to advertising, we solicited bids from Covington Flooring, Southern Facility Sales & Service, Steve Ward & Associates, and Builders Exchange for the purchase of bleachers and goal relocation (specifications attached), which, if approved by the Board, will be budgeted in the General Purpose School Fund for the 2012 – 2013 fiscal year. We received bids from two (2) companies, which are summarized on the bid request tally sheet. Steve Ward & Associates and Builders Exchange did not submit a bid. Individual bids were as follows:

Southern Facility Sales & Service – $52,955.00
Covington Flooring – $49,000.00

If the Board wants to renovate the gymnasium at Black Oak Elementary so that it is set up like the other elementary schools, now is the time to do so. We refinish elementary school gymnasium floors once every twenty-five years or so.

Staff Recommendation:

I recommend approval of the bid submitted by Covington Flooring for $16,057.00 to refinish the gymnasium floor at Black Oak Elementary School. Funds are available in the current year budget for this purchase.  In addition, I recommend approval of the bid submitted by Covington Flooring for $49,000.00 to renovate the gymnasium at Black Oak Elementary as described on the floor plan attachment. In the 2012 – 2013 fiscal year budget, the renovation project will be budgeted at a total cost of $67,500 (includes seating, goal relocation, scoreboards, paint, duct work, sound, etc.). With the approval of the renovation project, it is the intent of the Board and management that no liability will be incurred, nor a purchase order issued, until the fiscal year beginning July 1, 2012.
